CATERING GUIDELINES
ROOM RENTAL ~ Rates will apply to all non-member functions and will be quoted by the Catering Office at the time of booking. Member sponsorship does not nullify room rental rates. The Room Rental Fee includes: standard set up, clean up, White or Ivory linens, china, silverware, stemware, tables, and chairs.FOOD MINIMUMS ~ Food minimums will apply to all functions and will be quoted by the Catering Office at the time of booking. Food minimums do not include beverages, taxes, or service charges.
DEPOSITS ~ A $2,500.00 non-refundable deposit will be required for all weekend events. For other events, a deposit will be quoted at the time of booking.
WEDDING CEREMONIES ~ The Bearpath Classic Wedding Ceremony Package includes a Garden Patio Pergola, white ceremony chairs, ceremony set-up and clean up, bridal room, and rehearsal time (based on availability).
PAYMENT PLAN ~ An estimated bill will be presented for full pre-payment one week prior to all weekend non-member functions. Final payment is due immediately following the event. Overpayment will be refunded through the Accounting Department on the earliest possible date. We accept Visa and MasterCard.
GUARANTEES ~ Please contact the Catering Office 48 hours prior to your event with the guaranteed number of guests that will attend. This is the minimum you will be charged. If no guarantee is submitted, we will consider the last number given to the Catering Office to be the guarantee.
GUEST LIST ~ Guests entering the Bearpath gated community will be required to check in with the gatehouse guard upon their arrival. Please submit a typed, alphabetized guest list and vender list to the Catering Office no later than two days prior to your event to ensure admittance.
SERVICE CHARGE AND TAXES ~ All tangible items, goods, or products are subject to both 6.9% tax and 20% service charge. This includes items that Bearpath may rent or procure form other sources. Liquor prices are subject to 9.4% tax and 20% service charge. There is a 6.9% sales tax on the service charge as required by the State of Minnesota. For purposes of Minnesota Statutes, section 177.23, subdivision 9, we are required to inform you that the service charge is not a gratuity and is the property of Bearpath.
MENU SELECTION ~ If you prefer, our Executive Chef will custom design a menu for your event. Vegetarian and Children’s menus are available upon prior request to your function. All prices are subject to change. Due to the fluctuations in markets, all prices will be guaranteed 30 days prior to your event. Split menu charges will apply.
FOOD REGULATIONS ~ Due to Health Department regulations and club policy, food and beverage consumed on the premises must be provided by Bearpath Golf & Country Club. Health Department regulations prohibit us from allowing guests to take home extra food and beverages.
ALCOHOL ~ All alcoholic beverages must be purchased through Bearpath Golf & Country Club. Bearpath's service staff must dispense all beverages; alcoholic or non alcoholic. Bearpath Golf & Country Club is required under state law to request proper identification. Bearpath reserves the right to prosecute minors for attempting to purchase alcohol or tobacco. Minors attempting to purchase alcohol or tobacco will be asked to leave your event immediately, no exceptions. Bearpath also reserves the right to refuse service of alcoholic beverages to any individual under any circumstances. Any belligerent behavior will result in prosecution. Bearpath reserves the right to eject violators of these policies from Bearpath premises. You must sign a Social Host Liability Form prior to your function.
EXTRA SECURITY ~ For groups over 125 people, a $20.00 per hour fee will be charged for extra security or management on the premises during the event. The contact name on the special event agreement will assume responsibility for any damage to the club and it’s property.
BARTENDERS ~ We recommend one bartender per 100 guests. There will be a $75 fee per bartender if sales of less than $350 are reached per bar. Portable bars may be set up inside or outside for $175.00 set up fee. The same minimum of $350.00 applies to portable bars.
TABLE LINENS ~ Standard white or ivory tablecloths and white, ivory or burgundy linen napkins are provided for all events at no extra charge. We also can provide a wide variety of colors and patterns to fit your color scheme. These special, non-standard linens range widely in price. Quotes will be provided upon request. It is our policy that all linens and chair covers for your event must be provided by Bearpath.
TABLES/SKIRTING ~ The club will provide skirting for wedding receptions and other events, please inquire regarding color options. Two tables are included in the room rental; a $15.00 fee per 8-foot table section of skirting will apply to any additional tables.
CENTERPIECES ~ We have certain themed centerpieces available for rental. We would also be happy to assist you in ordering tabletop arrangements. Please note that confetti and glitter are not allowed. We also have the following items available for rental:
Votive Candles $1.50 each
Round Mirrors $2.50 each
12" Round Mirror with 3 votives or Hurricane Lamps with candles $6.25 each
Ice Sculptures $200-$275
PLACECARD TABLE ~ Bearpath Golf & Country Club will be happy to embellish your placecard table with Hanging Candles, Mirrors, and Glass Blocks for a cost of $125.00.
CEILING DRAPING ~ Bearpath Golf & Country Club offers elegant ceiling draping with twinkle lights. Ceiling draping is done exclusively through Bearpath. The cost for this is $895.
WEDDING/BIRTHDAY CAKES ~ You are welcome to provide your own cake from any commercial bakery. There will be a $1.25 charge per person for cutting and serving the cake. This charge cannot be waived. It takes the place of a dessert item you may have ordered from Bearpath and covers all service ware, and labor costs involved. Bearpath Golf & Country Club works with Buttercream Cakes. If you were to purchase your wedding cake from Buttercream, the charge for your cake and service is $4.25 per person with a delivery charge.
VALET PARKING ~ Valet service is required for groups of 125 people or more. The charge for valet service is $25.00/hour per attendant, with a minimum of two attendants.
COATCHECK ~ Bearpath Golf & Country Club will provide coatroom attendants upon request. We recommend one coatroom attendant per 100 guests. $85 per attendant will be charged. Bearpath cannot be responsible for lost or stolen articles.
DANCE FLOOR ~ The club will set up a dance floor that measures 18’ X 18’. There will be a set up charge of $200 when the dance floor is needed.
STAGING ~ If you would like to have your head table on risers, we have risers available for rent at $95.00 per section. Each section can seat 4-5 people.
SET-UP ~ You are responsible for all set-up of room decorations for all parties and weddings. This includes table centerpieces, table favors, placecards, etc. If you would like Bearpath’s assistance, there will be a $50.00 per hour fee. Bearpath Golf & Country Club is not responsible for personal or rented property that is left on the premises before, during or after your event.
MUSIC & ENTERTAINMENT ~ It is important for the entertainer to contact the Catering Department regarding set up time, location, power needs, etc. The club reserves the right to control the volume of your entertainment. We would be happy to assist with referrals.
SMOKING/NON-SMOKING ~ Bearpath is a non-smoking facility. The use of tobacco products is prohibited inside the clubhouse.
DAMAGE TO BEARPATH PROPERTY ~ You will be charged accordingly for any damage caused by you or anyone in your party. This includes tape, nails, tacks or pins in the walls. A fee will be charged for any extraordinary cleaning that is necessary. For example: confetti, glitter, silly string etc.
CLUBHOUSE ~ The Bearpath Clubhouse is a strictly members only facility. Ballroom guests are allowed in the ballroom and Terrace areas only. All other areas of the clubhouse and grounds are off limits to non-members.
